When pulling objects for exhibitions be sure to do the
following:
- Use a Paging Form and list all items used in the exhibition,
include the collection name, series # / box # and folder #, and description of item. Use a separate space for each item.
- Make a photocopy, onto buffered paper, of the Paging Form for each item.
- Put an asterisk (*) on the left side of the space that describes the item you are removing. Put this Paging Form in place of the item you remove.
- Put the original Paging Form in the folder "On Exhibit" on the shelves in the Processing Room.
The Paging Form in the collection in place of the item removed and the Paging Form in the Processing Room will allow us and researchers to know why the object is not in the
collection, and the forms will make it
easier to put the material back in its original location.
When the exhibit is over:
- Return the items to their collection and remove the Paging Form.
- Put the Date Item Returned to the collection on the Paging Form. Then file the Paging Forms in the Administrative Preservation/Processing folder for the respective collection.
- On the original Paging Form put the date you refiled and returned the material to the stacks. File this in the Paging Form file.
